Terms of service
These terms apply when your organization uses Reardon Business Solutions (“RBS”, “we”) for bookkeeping, including the client portal at app.rbsbooks.com and our connection to your QuickBooks company. Your signed engagement letter with RBS sets the scope and fees of the work; if it and these terms differ, the engagement letter wins.
What we do
Bookkeeping: categorizing your transactions, asking you about the ones we can't settle from the records, reconciling your bank and card accounts, closing each month, and keeping your books ready for your CPA. For Step Up for Students schools, we also keep the records an agreed-upon procedures review looks for.
What we don't do
- We do not provide tax, audit, attest or legal services, and we are not a CPA firm. Your CPA or tax preparer handles those.
- We never pay bills or move money. Approving a bill in the portal records your approval; paying it stays with you.
Your part
- Give us complete and accurate records, and answer our questions in the portal promptly so each month can close on time.
- Add only people you trust to your portal, and remove them when they leave. You are responsible for answers given by the people you add.
- Tell us promptly if something in your books looks wrong.
QuickBooks
If you connect QuickBooks, you authorize RBS to read your accounts and transactions and to update the category on transactions approved through our review. You keep ownership and control of your QuickBooks company and can disconnect RBS at any time. Your use of QuickBooks itself is governed by Intuit's terms.
Software and AI
We use software, including an AI model, to sort transactions. A person at RBS reviews every month before it closes, and nothing becomes final without that review. The portal is provided for use with our service only.
Confidentiality
We keep your information confidential and handle it as described in our privacy policy.
Fees and ending the service
Fees are set in your engagement letter. Either side may end the service with written notice, as set out in your engagement letter. When it ends, we disconnect QuickBooks and give you your records as described in the privacy policy.
Responsibility for errors
If we make a mistake in your books, we will correct it. Any further limits on responsibility are set out in your engagement letter.
Changes
We may update these terms. We will post the new version here with a new date and tell current clients by email before a change that matters to them takes effect.
